How to Request Collaborator Access in Shopify (Complete 2026 Guide)

To request collaborator access in Shopify, a Partner must log into their Partner Dashboard, click Stores, then Add store. Select Request access to store, enter the store URL, and specify required permissions. If the merchant has a Collaborator Request Code enabled, you must enter it before sending the request.

This process takes about two minutes. The merchant then reviews and approves your request from their Shopify admin.

What is a Shopify Collaborator Account?

A collaborator account lets Shopify Partners access merchant stores without using a staff seat. Partners get specific, limited permissions. Merchants keep full control over sensitive data.

Think of it as a guest pass with strict boundaries. You can enter certain rooms but not others. Every action gets logged.

Staff accounts count against your plan’s seat limits. Basic Shopify includes 2 staff seats. Shopify plan includes 5. Advanced includes 15.

Collaborator accounts don’t count toward these limits. You can have unlimited collaborators on any plan. This “zero-seat” benefit saves merchants significant costs.

Staff accounts can access sensitive financial data. Collaborator accounts cannot access bank account details or Shopify Payments settings by default. This built-in protection prevents unauthorized access to payment information.


How to Request Access as a Partner

Follow these seven steps to request collaborator access from a merchant’s store.

Step 1: Log into the Partner Dashboard

Navigate to partners.shopify.com and sign in. If you don’t have a Partner account, create one for free. Partner accounts are separate from regular Shopify accounts.

Step 2: Navigate to Stores

Click Stores in the left-hand sidebar. This section shows all stores you currently manage. It also displays pending requests.

Step 3: Click Add Store

Click the Add store button in the top right corner. A dropdown menu appears with three options.

Select Request access to store. Don’t select “Create development store” or “Create demo store.”

Type the merchant’s .myshopify.com URL in the text field. You need the exact URL format. For example: storename.myshopify.com.

If you only have their custom domain, ask the merchant for their myshopify URL. They can find it in Settings > Domains.

Step 5: Define Permission Levels

Check the boxes for permissions your project requires. Be specific. Request only what you need.

Step 6: Enter the Collaborator Request Code

If the merchant has enabled a Collaborator Request Code, a text field appears. Enter the 4-digit code the merchant provides.

This code prevents unsolicited access requests. Many merchants enable it after receiving spam from agencies. You must get this code directly from the merchant before proceeding.

Step 7: Send the Request

Click Send request. Shopify notifies the merchant via email and in their admin dashboard. Most merchants respond within 24-48 hours.

Add a professional message explaining your project scope. This increases approval rates significantly.


How to Accept a Request as a Merchant

Merchants control the approval process. Here’s how to review and accept collaborator requests safely.

Finding Pending Requests

Open your Shopify admin. Navigate to Settings > Users and permissions. Look for the Collaborators section.

Pending requests appear with a yellow “Pending” badge. Click on the request to review details.

You can also approve requests from the Shopify mobile app. Go to the Users section and tap on pending requests.

Reviewing Partner Identity

Before approving, verify the partner’s identity. Shopify displays their Partner account name and email. Confirm this matches who you expect.

Check their Shopify Partner profile if available. Look for reviews from other merchants. Legitimate partners have established profiles.

Never approve requests from unknown sources. Phishing attempts sometimes masquerade as legitimate agencies.

Granting Selective Permissions

You don’t have to approve all requested permissions. Review each category individually.

Remove access to categories the partner doesn’t need. A theme developer doesn’t need Order access. A copywriter doesn’t need Analytics access.

Click Approve after adjusting permissions. The partner receives immediate notification.

Security Best Practices for 2026

Collaborator accounts offer strong security by default. These practices make them even safer.

Enable Collaborator Request Codes

Generate a request code to block unsolicited access requests. Navigate to Settings > Users and permissions > Collaborators.

Click Enable collaborator request code. Shopify generates a 4-digit code. Share this code only with partners you intend to work with.

Change the code after ending partnerships. This prevents former partners from requesting access again.

Monitor Activity Logs

Track exactly what collaborators change in your store. Open Settings > Store activity log.

Filter by user to see specific collaborator actions. The log records theme changes, product edits, setting modifications, and more.

Review logs weekly during active projects. Investigate unfamiliar changes immediately.

Remove Access Promptly

Revoke permissions immediately when projects end. Open Settings > Users and permissions.

Find the collaborator’s name. Click Remove access. Confirm the removal.

The collaborator loses access instantly. They cannot access any store data after removal.
